Receiving Donations

NON-PROFIT STATUS

Global Brigades Inc. (i.e. "Global Brigades USA") is a 501(c)(3) non-profit organization and to provide tax-deductible receipt for donations, we must follow these IRS regulations (Pub. 526):

 •   Monetary donations must be made directly to Global Brigades.
 •   Cash donations or checks issued to individuals or his/her Chapter are considered a personal gift and NOT a qualifying donation.
 •   To be able to utilize the tax law allowance, the individual taxpayer needs to use the Schedule “A” form when filing tax returns. Business donors will use their applicable forms to claim the benefit.
 •   If a donor wishes to receive a tax receipt, donations must be made under the donor's name.

 

TAX ID

The Global Brigades USA Tax ID number can be used to solicit both in-kind and monetary donations from local businesses and vendors. Global Brigades' 501(c)(3) status is an important part of how we operate as an organization as it exempts the nonprofit from tax for fulfilling its mission and also allows us to provide tax receipts to donors. A non-profit's 501(c)(3) status can be revoked, so please review the following list of the DOs and DON’Ts before using Global Brigade's Tax ID:

 

DOs
 •   Provide Tax ID to solicit monetary donations from local businesses
 •   Provide Tax ID to solicit in-kind donations (e.g. food for events, items for auctions) from local businesses 
 •   Provide Tax ID to solicit in-kind donations from a national organization’s local business. Although organizations like Chipotle, Starbucks, etc. are national organizations, their local businesses sometimes offer food donations for events or in-kind auction items such as water bottles, apparel, etc. When soliciting for an in-kind donation, only approach a local branch; never contact the national organization’s main headquarters.
 •   Provide Tax ID to local event space vendors to hold local auctions, banquets, etc.
 •   Provide Tax ID to solicit monetary donations from local foundations or grant makers who are restricted in giving funds to local organizations.

 

DON'Ts
 •   DO NOT use Tax ID to open a Chapter bank account.
 •   DO NOT use Tax ID to fundraise for an individual; all donations must be made to Global Brigades.
 •   DO NOT provide Tax ID to solicit monetary donations from national organizations or corporations. These corporations should be solicited by Global Brigades USA to benefit all chapters. If you have a lead, please pass it along to Shital Vora at shital@globalbrigades.org. If a corporation asks for financial statements, list of Board of Directors, impact statistics, Letter of Intent, etc., this suggests this is a national organization.
 •   DO NOT provide Tax ID to solicit monetary donations from national foundations or grant-making organizations. If you have a lead, please pass it along to Shital Vora at shital@globalbrigades.org.
The only exception to this is if it is a foundation owned by a family or family friend. For instance, some students’ family members have foundations and will often make their donations out of their foundation.
 

MONETARY DONATIONS

Global Brigades cannot accept cash donations, therefore, any cash donations will not be considered tax-deductible. All monetary donations should be made by credit card, e-check, or paper check. 

 

Credit Card & E-Check Donations
 •   Global Brigades offers an in-house donation platform, powered by Empowered.org. Every participant must be signed up on their Chapter's Brigade Page in order to participate in a brigade. All credit card and e-check donations must be made on the Brigade Page and directed to the individual participant.
 •   Donors will automatically receive a tax receipt recognizing their tax deductible donation. The receipt will be e-mailed to the address they submit when they make their donation.
 •   In order to ensure 100% of all donations go towards their purpose, credit card donors will be charged a 3.5% merchant fee, which covers online credit card and transaction fees in their donations. Donors wishing to bypass this processing fee are encouraged to make their donation using the e-check (ACH) option.
 •   The E-check option will be disabled 14 days prior to a brigade.

 

Instructions for Credit Card or E-Check Donations

1. Ask for or locate the recipient's donation page directly by searching for his/her school on the Chapters directory.
2. Once on the Brigade Page, click on the orange "Donate" button.
3. On the checkout page, please select the option "Make a donation on behalf of a fundraiser:" and choose the volunteer's name.
4. Follow the on-screen instructions to complete the transaction.
5. If there are any issues with payment processing, please first ensure that your bank or credit card company is authorizing the transaction, then seek assistance from the support team at support@globalbrigades.org.

 

Check Donations

Volunteers are strongly recommended to ask that their donors donate to their brigade using their Global Brigades fundraising page. When donors complete their donation online, they will automatically receive a tax receipt recognizing their tax deductible donation. The receipt will be e-mailed to the address they submit when they make their donation.

Instructions for Check Donations

1. All checks must be made payable to "Global Brigades, Inc." Checks made payable to an individual or a Chapter are considered a personal gift and they are not eligible for tax deduction (Pub. 526).
2. The donor should include the recipient volunteer's information on the memo line, so the funds can be added to the appropriate fundraising account. Include the volunteer's name, their school, and their brigade program (for example, Marquette University Medical - volunteer Jane Doe).
3. To ensure that the check is received and tracked, the volunteer should communicate the following to Global Brigades via email prior to sending the check: donor name, donor email address, check number, check amount, volunteer's name.
4.

Checks should be mailed to the following address:

5. Once the check is received, it will be added manually to the volunteer's fundraising page to go toward meeting their Donation Goal. Check processing time will take approximately 1-2 weeks.
6. Donors who donate $250 or more will be mailed a tax receipt if they provide their name and mailing address along with the check.

 

Sending Multiple Checks

1. Once the check donations are collected from donors, Chapter leaders should collect all checks and fill out the Check Donations Tracker Template.
2.

The spreadsheet should be printed out and mailed along with the checks.

 

IN-KIND DONATIONS

Global Brigades accepts a limited amount of material donations as long as the guidelines below are followed. Solicited and unsolicited donations must be confirmed with the appropriate Program Associate and be inspected for the required quality and useful life compliance before acceptance.  If you have a specific item(s) that you would like to donate, please contact your Program Associate to find out if your donations can be accepted.

 

•      The donor must be informed that the recipient of the donation is Global Brigades, Inc. on behalf of your Chapter (i.e. Medical Brigades at Pennsylvania State University).
•    All donated items must be needed on the brigade. Global Brigades cannot accept expired or unapproved donations.
•    Once Global Brigades accepts the donation, the donation will not be returned to the donor without the donor’s consent.
•    Global Brigades cannot accept any items for resale or store donations.

 

Tax Receipts for In-Kind Donations

Brigades that would like to have tax donation receipts provided to donors for making in-kind donations must first receive prior approval from Global Brigades, Inc. by contacting accounting@globalbrigades.org. Global Brigades will only provide in-kind donation receipts for large equipment items donated directly to Global Brigades, Inc., such as dental units, wheelchairs, etc. valued over $250. In order to receive recognition for the donation and a tax receipt, the Chapter Leader must submit the following information to their Program Associate:
 
• 
Name and address of the donor, specific office or title (if applicable)
•  List/description of the donation, fair market value and date of the donation
Declaration that the donated items were needed/used for the brigade and that all donated items were in the required condition
Purchase receipt for donated item  

 

OTHER MATERIAL DONATIONS

As we strive to be as sustainable as possible, handing out in-kind donations (old clothing, school supplies, toiletries, etc.) is not something we can support. Handing out small amounts of such items results in unfair distribution of donations and can cause challenges within our community partners. To make the most of items such as used clothing, we suggest looking into organizations like thredUp. ThredUP takes like-new clothing and gives money to the donor's charity of choice.

 

REIMBURSING BRIGADE EXPENSES

Brigades may be eligible to request reimbursement from fundraised money for medical & dental supplies, lodging, and ground transport that is required for a brigade. Please contact your Program Associate for prior approval and more information before making any purchases that you plan on requesting for reimbursement.

 

CHAPTER BANK ACCOUNT

If you wish to set up a bank account for your Chapter of Global Brigades in order to collect funds, purchase medicine, material donations, and other club-related expenses, please note the following:

 •   The bank account should be set up through the university or outside the university with an individual's social security number. (DO NOT USE THE GLOBAL BRIGADES TAX ID NUMBER.)
 •   Collect all cash donations in the account
 •   Tax receipts cannot be issued

CHARITABLE REGISTRATION

Global Brigades Health and Development (i.e. "Global Brigades Canada") is a registered charity under the Income Tax Act. Confirmation of Global Brigades Canada’s registered charity status can be found here. To provide official donation receipts for income tax purposes we must follow Canada Revenue Agency regulations:

  • Monetary donations must be made directly to Global Brigades Health and Development.
  • Cash donations or cheques issued to individuals or his/her Chapter are considered a personal gift and NOT a qualifying donation.

If a donor wishes to receive a tax receipt, donations must be made under the donor's name.

 

USE OF CHARITABLE REGISTRATION

The Global Brigades Canada Charitable Registration Number can be used to solicit both in-kind and monetary donations from local businesses and vendors. This registration can be revoked. Please review the following list of the DOs and DON’Ts before using the charitable registration number:

 

DOs

  • Provide charitable registration number to solicit monetary donations from local businesses
  • Provide charitable registration number to solicit in-kind donations (e.g. food for events, items for auctions) from local businesses
  • Provide charitable registration number to solicit in-kind donations from a national organisation’s local business. When soliciting for an in-kind donation, only approach a local branch; never contact the national organisation’s main headquarters.

If a corporation asks for financial statements, list of Board of Directors, impact statistics, Letter of Intent, etc., this suggests this is a national organisation. The only exception to this is if it is a foundation owned by a family or family friend. For instance, some students’ family members have foundations and will often make their donations out of their foundation.

6. Donations of $250 or more will be emailed a tax receipt upon request if name and mailing address are provided along with the cheque.

Solicited and unsolicited donations must be confirmed with the appropriate Program Associate and be inspected for the required quality and useful life compliance before acceptance. If you have a specific item(s) that you would like to donate, please contact your Program Associate to find out if your donations can be accepted.

  • The donor must be informed that the recipient of the donation is Global Brigades Health and Development on behalf of your Chapter (i.e. Medical Brigades at Acadia University).
  • All donated items must be needed on the brigade. Global Brigades cannot accept expired or unapproved donations.
  • Once Global Brigades accepts the donation, the donation will not be returned to the donor without the donor’s consent.
  • Global Brigades cannot accept any items for resale or store donations


Tax Receipts for In-Kind Donations

Global Brigades UK cannot accept cash or check donations. All monetary donations should be made by credit card.

Global Brigades Germany is registered with the Charity Commissioner of Germany and has been granted tax relief under the tax relief on income and property of charities. MONETARY DONATIONS

Global Brigades Germany cannot accept cash or check donations. All monetary donations should be made by credit card or wire transfer. 

 

Credit Card Donations

Global Brigades Germany utilizes a third-party fundraising platform, betterplace.org. Contact the chapter you'd like to support to see if they are accepting credit card donations through betterplace.org. 

 

Wire Transfers

Global Brigades Germany offers the option to donate via wire transfer directly to the GB Germany bank account. Please contact the Global Brigades Germany Finance Manage for necessary bank account information.

 

OTHER MATERIAL DONATIONS

 •   The donor must be informed that the recipient of the donation is Global Brigades Ireland. on behalf of the volunteer's Chapter.
 •   All donated items must be needed on the brigade. Global Brigades cannot accept expired or unapproved donations. Solicited and unsolicited donations must be confirmed with the appropriate staff and be inspected for the required quality and useful life compliance before acceptance.
 •   Once Global Brigades accepts the donation, the donation will not be returned to the donor without the donor’s consent.
